Nobody here "does inventory" as a job. The system rides along on work that's already happening — unloading takes the time unloading takes, picking takes the time picking takes — and in exchange we get live counts, one-click recalls, and numbers everyone can trust.
The watchdog message lands before anyone's on site: "all clear ✓" or a short list of what needs attention today. Mondays it's the full business brief — sales, pipeline, week ahead. Fifteen seconds with coffee.
Whoever opens up prints the 🖨 Day sheet (Schedule) — overdue first, today's trucks in and orders out, counts due, anything low. That one page runs the morning. Then two taps per freezer on the Cold chain panel logs the temps — our CFIA record, done before the kettle boils.
+ Receive → location's already remembered → who it came from (suppliers auto-suggest). Hit 📷 Scan cases and scan every case off the truck — the lines build themselves. Lot numbers from the cases, best-by fills itself, 🏷 Labels prints one label per case — tape them on — then Receive all.
Ordered on a PO? "Receive against this PO" pre-fills everything and checks the order off.
+ Order: customer, ship-by date, lines. Beside each line: what's truly available — on hand minus what's already promised to other open orders. The same case can't be sold twice. (Shopify web orders skip all this — they flow in and deduct stock by themselves every 10 minutes.)
Open the order → Ship this order → print the pick list: the exact lots to pull, oldest best-by first, grouped so you walk the building once. Pull, load, carrier + tracking, Ship all, packing slip in the box. Held lots never appear — ON HOLD never ships.
Office later: Mark invoiced (Sage #) → Mark paid. Unpaid 14+ days starts nagging on its own.
Count opens on exactly what's owed: A items monthly, the rest less often. Phone in hand: scan → type what you see → save → next. Freezer kills the wifi? Keep counting — it uploads itself later. This little habit is what keeps every other number true.
Called someone? Two taps on their page logs it. Lead closed? ✓ Customer. Complaint call? ⌘K their name → 🖨 Shipment history shows every lot they ever got, and any lot number drops into Trace for the full record — supplier to boat to their door.
✨ Suggest order drafts the buying from real demand math → 🖨 Print PO to the supplier. Download a backup when nudged, 🔍 Check it, file it. Glance at Count variance and Waste. That's the whole management overhead — the crons and the watchdog carry the rest.
